How to update users in bulk

Updating users in bulk allows you to apply changes to multiple records at once, saving time and ensuring consistency in the information.

1º Accessing the user administration module:

In the lower-left side menu, click on “Users”.

This section displays all registered users, allowing you to view details and manage files linked to each one.

2º Applying filters to select users:

To perform bulk editing, first filter the users who will be affected:

  1. Click the “Filter” button represented by the funnel icon in the header of the user list.

  2. In the filter panel, configure Field, Operator, and Value according to the desired criteria (for example: Permission Level = “User”).

  3. Click “Apply” to display only the users who meet the criteria.

3º Starting Bulk Editing:

  1. With the users filtered, click the “Bulk Update” button represented by the copy/duplicate icon, located in the header near the “Clear Filters” and “Bulk Deletion” buttons.

  2. The bulk editing panel will be displayed, containing fields to determine which attributes will be updated for all selected users.

4º Configuring the fields to be updated:

In the bulk editing panel, select the attributes you want to change for all users:

  • First Name

  • Last Name

  • Email

  • Phone

  • Mobile Phone

  • Job Title

  • Permission Level (Administrator, Manager, User, External User, Restricted User, Inspector)

  • Custom Fields (if applicable): enter new values for the desired fields

For each enabled field, provide the new value that will be applied to all selected users.

5º Executing the update:

  1. After configuring all fields, click “Save All” in the lower corner of the window.

  2. A notification will appear in the lower-left corner indicating that the bulk update was successfully completed.

6º Verifying the result:

  1. The user list will automatically reload.

  2. Verify that all selected users had their fields updated as configured.

Best practices:

  • Carefully filter before selecting users, ensuring that only the correct profiles are modified.

  • Review the configuration in the bulk editing panel before saving to avoid unintended changes.

  • Limit the scope of editing to a specific group to reduce risks.

  • Create backups or export the list before making major changes to allow possible reversal.

  • Inform the team about the changes to maintain transparency.
