How to Create and Manage Form Portals

The Portals feature allows you to group multiple forms into a single public page. This makes link sharing easier and simplifies the process for users filling out forms.

1st Step: Accessing the Settings Administration Module

In the lower left side menu, go to “Settings” and click “Portals”.

2nd Step: Creating a New Portal

In the portals list screen, click “New Portal” to open the creation window.

3rd Step: Filling in the Portal Information

In the “Create Portal” modal, fill in the fields below:

  • Title: identifying name of the portal (e.g., HR, Finance, Support).
  • Icon: choose a representative icon for the portal.
  • Domain: the system automatically generates the public link using the selected domain (e.g., app.octapipe.com/portals/octaworks/yourdomain).
  • Description: add a brief explanation of the portal’s purpose.
  • Linked Forms: select the forms you want to include.

Click “Create Portal” to save.

4th Step: Viewing and Editing the Created Portal

After creating it, the portal will appear in the list with the configured name and icon, click on it to view or edit its information. In the edit tab, you can:

  • Change the title, description, icon, and linked forms.
  • Access the public domain link for sharing.

5th Step: Accessing and Sharing the Public Portal

Click "Open" and access the generated link, a public page will be displayed containing all forms linked to the portal, each with its own access button.

To share the portal with collaborators or clients, simply copy and send the link.

Best Practices:

  • Name portals according to the department or process (e.g., HR, Finance, Projects).
  • Keep descriptions short and objective to help users understand the portal quickly.
  • Link only active and relevant forms.
  • Use icons that visually represent the context of the portal.
