How to Configure the Field Value Calculation Action

The “Calculate Field Value” action allows you to create rules that automatically update card fields based on mathematical operations, formulas, and dynamic variables. This feature is ideal for financial calculations, deadlines, metrics, or any custom logic within your operation.

1st Step: Accessing the Automations Module

In the lower left side menu, click “Automations” to view the list.

2nd Step: Creating a New Automation

Click “New Automation” to create a rule or select an existing automation to edit.

3rd Step: Defining Entity and Event

Select the “Entity” that will be monitored. Available options are:

  • Pipeline Cards: pipeline cards.
  • Database Records: database records.
  • Tasks: task-related automations.
  • Users: user-related automations.

Then choose the “Event” that will trigger the automation:

  • Create
  • Update
  • Delete
  • Move
  • Task Completed
  • All Tasks Completed Each entity has its own events that can be used depending on the context.

4th Step: Selecting the Action

In the “Action” field, choose “Calculate Field Value”.

5th Step: Configuring the Formula

In the Settings section, define:

  • Field: choose which field will receive the calculated value.
  • New Value Formula: enter the mathematical formula to be applied.

You can use operators such as + (addition), - (subtraction), * (multiplication), / (division), and () (parentheses) to structure more complex calculations, following spreadsheet logic.

You can also insert dynamic variables represented by the (x) icon next to the field, which pull values from custom fields on the card.

Example: **{cf_initial_value} - ({cf_used_value} + {cf_admin_fee})

6th Step: Applying Conditions (Optional)

Add conditions to define when the calculation should be executed. Configure:

  • Field
  • Operator

7th Step: Saving the Automation

After reviewing, click “Save Automation”. The rule will become active and will automatically update values whenever the configured event occurs.

Best Practices:

  • Use clear names for custom fields to simplify formula creation.
  • Test expressions with sample records before applying in production.
  • Use parentheses to ensure correct order of operations.
  • Combine dynamic variables to create customized calculations per card or record.
