How to Configure the Change Field Value Action

The Change Field Value action allows you to automatically update information within cards or records, ensuring consistency and agility in your workflow.

1st Step: Accessing the Automations Administration Module

In the lower left side menu, click “Automations” to view the list of configured rules.

2nd Step: Creating or Editing an Automation

Click “New Automation” to create a rule or select an existing automation from the list to edit.

3rd Step: Defining Entity and Event

Select the “Entity” that will be monitored. Available options are:

  • Pipeline Cards: pipeline cards.
  • Database Records: database records.
  • Tasks: task-related automations.
  • Users: user-related automations.

Then choose the “Event” that will trigger the automation:

  • Create
  • Update
  • Delete
  • Move
  • Task Completed
  • All Tasks Completed Each entity has its own events that can be used depending on the context.

4th Step: Selecting the Action “Change Field Value”

In the “Action” field, select “Change Field Value”.

5th Step: Applying Conditions (Optional)

If necessary, add conditions to restrict when the automation should run. Configure:

  • Field: which data will be evaluated.
  • Operator: how the comparison will be made (equal, not equal, contains, does not contain, greater than, less than).
  • Value: the parameter used in the comparison.

6th Step: Configuring the Specific Fields

In the Settings section, fill in the required fields:

  • Field: choose the field that will be updated.
  • New Value: enter the value that will be automatically applied when the event occurs.

(Optional) You can use dynamic variables in the “New Value” field to personalize the content automatically. Click the (x) icon next to the field to insert variables such as “Full Name” or “Order Number”, represented as {cf_uuid_full_name} and {cf_uuid_order_number}, which will be replaced with real data from the card or record during execution.

7th Step: Saving the Automation

After configuring the fields and conditions, click “Create Automation” or “Update Automation”.

The automation will be available in the list and will update values whenever the defined conditions are met.

Best Practices:

  • Use clear names to identify the purpose of the automation.
  • Test with sample records before applying in critical processes.
  • Use conditions to avoid unnecessary bulk changes.
